“the software that is included with this UPS i believe its called powerchute, once we plug the usb in from the APC UPS to the desktop computer and the software installs, do we have to keep the usb plugged in at all times for the software to work properly?”

Thank you for inquiry. Yes you will have to leave the USB cable connected to the computer. This way the computer can receive signals from the UPS when it is on battery to trigger your computer to shutdown.

With no connection the PC will not "know" that the ups is going to run out of power and as such can have an abrupt shutdown which can lead to data loss or corruption which is what the unit is geared to protect against. Note that the unit will continue to supply power until the battery runs down even if the cable is not connected.
