Each handset has volume control and the ability to announce caller ID, ring when called and have the live audio for the caller leaving a message. If you can't hear the live audio or caller ID, the volume for the handset is turned to full minimum/off. This can be adjusted while a message is being left, while the unit is ringing or in settings while the system is idle.

When the answering system is turned on, the message counter on the base unit displays the total number of messages (old and new). Additionally, check if you have Voicemail through your telephone company. In case the calls go to the Voicemail service, instead of the built-in answering machine, you can adjust the ring count on the answering machine to less than the voicemail ring count. Hope this helps! -C
